CRM for a medical center and clinic

Doctor schedules, patient reminders and calls — in one window

The receptionist is on the phone and in a messenger chat at the same time, and the doctor finds out today's schedule from that same call — that's a clinic without one shared system. ModalCRM keeps every doctor's appointments in one calendar with their own schedule and time off, keeps the patient conversation in Telegram, Viber, WhatsApp or the site chat right next to the booking card, and takes calls straight from the browser with the recording saved automatically. The Bookings plan is 900 ₴ a month per company, not per doctor.

Every doctor's appointments in one weekly calendar

A week view colour-coded by doctor: the patient, phone number and appointment time show right in the cell. “All locations” and “All masters” filters narrow the view to one branch or doctor; the tabs above switch to a kanban by status, a table, workload, or the staff schedule. The “+ New appointment” button books a visit without leaving the screen.

A patient can book the same visit without calling in: the site widget walks them through a branch, a service (which can have several variants — say, a “first consultation” and a “follow-up”, each with its own duration and price) and a named doctor or “any available one”, showing real open slots from the schedule. The patient gets a personal link to view, cancel or reschedule the visit on their own, no account needed.

Each doctor's own schedule — breaks, vacation and sick leave included

The “By specialist” view lays the day out in columns, one per doctor, each appointment labelled with the patient's name and phone number. A legend marks non-working hours, breaks, vacation, sick leave and days off right on the grid — the system won't let anyone book a doctor who isn't working.

An appointment that's over closes itself — it's marked “Completed” automatically, so the receptionist isn't closing out every visit by hand. If a patient is more than the allowed number of minutes late and still hasn't been marked “Arrived”, the doctor gets a one-time push with the appointment number and decides: no-show, or reschedule.

A patient writes on any messenger — the receptionist answers from one window

Telegram, Viber, WhatsApp, Instagram, Facebook, email and the site chat all land in the same queue — “All”, “Open”, “Closed” or “Mine”. Next to the conversation is the client card with a “New appointment” button, so a visit can be booked straight from the chat without retyping the phone number.

The “Reason for contact” field on the client card already has a “Book an appointment” option — the receptionist tags why the patient wrote, and it shows up in reports. Closing a dialog keeps the reason and the operator who handled it in the history.

Calls from the browser, and a report on who called and who was missed

Calls go out straight from the browser via Binotel, UniTalk, Ringostat, Zadarma or CallsApp — every call is tied to the client's card. The Calls report shows totals for the period (answered / missed), a log filterable by type, number, client, manager and status, call duration, and a recording you can play right from the row.

A missed call is just as visible as an answered one, so the front desk knows who still needs a callback. The call's reason comes from the same dictionary as chats, so the report shows not just how many calls came in, but why people called.

Frequently asked questions

Can a patient book an appointment online, without calling in?

Yes — an online booking widget on your site: the patient picks a branch (if there's more than one), a service (e.g. a “first visit” vs. a “follow-up”, each with its own duration and price), a named doctor or “any available one”, and sees real open slots in the schedule. The booking lands in the CRM right away, and the patient gets a link to their own appointment page — to view, cancel or reschedule without creating an account.

How much does a CRM for a medical center or clinic cost?

The Bookings plan is 900 ₴ a month per company for up to 3 users, +200 ₴ for each additional one. Quarterly billing is 8% off, yearly 17% off. The first 14 days are free, no card.

How do patient reminders work?

The CRM sends up to two reminders — say, one a day before and one 2 hours before; the timing is set company-wide in Settings → Appointments → Notifications, or per visit. If there's already a chat with the patient on Telegram, WhatsApp, Instagram or Facebook, the reminder goes there for free; if not, it goes by SMS or Viber broadcast through an SMS provider (paid) or by email. There's also a mode that notifies no one but the doctor, with a push.

Does each doctor have their own schedule, and can a clinic have several branches?

Yes. Each specialist's schedule is tracked separately — working hours, breaks, vacation and sick leave all show up on the “By specialist” calendar, and the system won't let you book a doctor during that time. If there are several branches, each has its own address, phone and hours, and a booking is tied to a specific location.

Where is patient data stored?

On servers in Europe (Hetzner). The provider is sole proprietor Viktoriia Lazukina, Ukraine; the terms are the public offer on the website.
