CRM for a travel agency and a tour agent

From a messenger request to departure — one deal, one chat, one set of invoices

A client writes on Instagram “what do you have for Turkey in early June”, clarifies the budget on Viber and emails a passport scan — and one trip falls apart into three threads. ModalCRM brings messengers, the site chat and email into one queue and runs each trip as a deal in a pipeline with its own fields: country, departure date, number of travellers. Instalments go out as invoices with a due date, the contract is generated from a template and hot offers are sent to segments. It is an agent's CRM, not a tour search: the Commerce plan is 900 ₴ a month per company.

Enquiries from every messenger — in one queue

A conversation list with the tabs “All”, “Open”, “Closed” and “Mine”; a Telegram dialog is open beside the client card: channel, first contact, last chat, operator, tags, “Contact reason”. The list also shows comments under Instagram and Facebook posts, marked “Comment” — handy when someone asks the price under a post about a hot tour.

Document scans and tour programmes go out with the “File” button, standard answers with “Template” and the contract with “Document” from a template. “Task” gives a manager an assignment, for example “check the spelling of names against the passports”. After a dialog the contact reason stays in the client's history, so you can tell who only asked the price and who has already decided to fly.

A pipeline: request, selection, booking, payment, departure

A kanban “Main pipeline”: the stages “New lead”, “Qualification”, “Proposal”, “Negotiation”, “Decision”, “Won” and “Lost”, with a deal count and total in each column; filters by stage, manager and source and a “+ Deal” button. Stages can be renamed: “Request”, “Selection”, “Booking”, “Payment”, “Departure”.

A deal card has custom fields — country, departure date, number of travellers (text, number, date or pick list) — plus line items with quantity and price, a source and a deal currency. “Reminder” fires at the date and hour you choose, and “Task” goes to a manager. If a proposal has been sent and nobody answers for 3 days or more, the CRM reminds you on its own; a deal with no movement turns yellow after 5 days and red after 14.

Instalments and due dates in invoices

The “Invoices” tab: number, client, date, due date, status (“Draft”, “Sent”, “Partially paid”, “Paid”, “Overdue”), the amount and how much has been paid. A tour paid with a deposit shows at once as “Partially paid”, and an overdue row has its own status.

The manager enters the deposit and the balance with the “Record payment” button — an amount above the remainder is rejected. The client gets a “Link for the client” to a public invoice page, and if WayForPay or Monobank acquiring is connected, it has “Pay online”. Online payment settles the whole remainder and only in hryvnia, so prices in foreign currency cannot be paid that way. An invoice can also be sent by email or to the chat.

Who owes you, and whom you owe

The “Settlements” tab with the sub-tabs “Buyers”, “Suppliers” and “Overdue receivables”: for each counterparty a balance, “Owes us” or “We owe”, with entries that appear from invoices and payments. The “Reconciliation statement (PDF)” button builds a document for the chosen period with the opening and closing balance.

For an agent that is a list of travellers who have not paid the balance before departure, and settlements with partners, in one place. It is not accounting and not tracking of tour-operator orders: you enter invoices and payments yourself, and nothing is pulled in from operator systems.

A hot-tour mailing to segments

The “Overview” tab of the campaigns section: active campaigns, how many were sent, the open rate and the budget, with a campaign table below showing type (Email, Viber, SMS) and status (“Completed”, “Draft”, “Running”, “Scheduled”). A campaign can also go through Telegram.

A segment picks the recipients: tags (say, “Egypt 2025”), city, birthday month, client status. A hot tour then goes to people who have already travelled that way, and a greeting to those with a birthday. The mail carries the name from the card and an unsubscribe link. The limit is 500 recipients per campaign and 2,000 messages a day per channel.

Frequently asked questions

Does ModalCRM pull tours from operator search such as ITtour or Tourvisor?

No. There are no integrations with tour search, booking systems or tour operators: you enter the chosen tour into the deal yourself, as line items with a price and quantity. ModalCRM handles communication, the pipeline, invoices and documents, not tour search and booking.

How much does a CRM for a travel agency cost?

The Commerce plan, with finance for invoices, is 900 ₴ a month per company for a team of up to 3, then +200 ₴ per extra user. Without invoices, Communication is enough for the same 900 ₴. Quarterly billing is 8% off, yearly 17% off. The first 14 days are free, no card.

Where do I keep travellers' passport data?

There is no passport entity in ModalCRM. You can add the number and expiry date as custom fields on the client card and send scans as files in the chat. Custom client fields can be filled into a contract template, whereas custom deal fields (country, departure date) are not filled into documents.

How do I handle a traveller who pays in instalments?

Create an invoice with a due date and enter the deposit and the balance as they arrive: the invoice becomes “Partially paid”, and after full payment “Paid”. Online payment by link settles the whole remainder and only in hryvnia. There are no automatic charges on a schedule.

Where is client data stored?

On servers in Europe (Hetzner). The provider is sole proprietor Viktoriia Lazukina, Ukraine; the terms are the public offer on the website.
